Description

Equans is looking for a Contract Administrator to join our team in Lumira, 9 Maxim Park, Eurocentral, Motherwell, ML1 4WQ, on a permanent basis. This is a full time role working 40 hours per week. On offer is a salary of £27,000 - £30,000 per annum depending on skills and experience and benefits package.

Shift Pattern:
Monday to Friday 08.00 - 17.00


What will you deliver?


You will provide structured contract administration and business delivery support by working closely with the Account Management team, stakeholders, and site teams. Your role is key to ensuring Facilities Management excellence through effective systems, processes, and relationships within the client and end-user environment.

This role is primarily based at the main site but will also support two additional local sites as required.

  • Athena – 5 Dovecote Road, Eurocentral, Motherwell, ML1 4GP
  • Bathgate – 39 Inchmuir Road, Bathgate, EH48 2EP

Key Responsibilities

Contract & Stakeholder Support

  • Interface with internal and external stakeholders to administer business and contract processes
  • Support the Account Management team to ensure service agreements are delivered to a high standard
  • Support business improvement projects and initiatives

People & HR Administration

  • Manage attendance, sickness, absence, and annual leave using SAP
  • Administer recruitment processes for direct employees
  • Coordinate onboarding and vetting for employees, temporary workers, and subcontractors
  • Support payroll administration, including medical certificates, starter, and leaver information

Health, Safety & Compliance

  • Administer SHEQ processes through AIMS to ensure compliance with HSEQ contractual requirements and health & safety policies

Performance & Reporting

  • Attend and administer client and subcontractor KPI/SLA meetings
    (Security, Catering, and TFM providers)
  • Support the production of monthly and quarterly client reports
  • Act as meeting recorder during contract review meetings

Commercial & Systems Administration

  • Administer quotes for ad-hoc service requests
  • Manage business system tasks including:
    • Coupa
    • Raising purchase orders
    • Goods receipting
    • Resolving invoice queries

Who are we looking for?


  • Proven experience in an administrative role.
  • Exceptional communication and interpersonal skills with a polished and approachable demeanor.
  • Strong organisational skills with the ability to multitask and manage priorities calmly under pressure.
  • Excellent attention to detail and commitment to maintaining high standards of presentation.
  • Proficient in MS Office suite or Google Workspace and digital scheduling tools; ability to quickly learn bespoke systems.
  • Discretion and professionalism in handling sensitive information.
  • Flexibility to adapt to varying client and internal needs and work schedules as required.
