The Post


These fixed term three month posts to 14 September 2026 are available to recent University of Stirling graduates as a seasonal opportunity to support a busy team during an exciting period with a variety of key student administration activities taking place.

You will be based within the Student Administration team as part of the wider Student and Faculty Operations grouping which brings together central and faculty professional services teams. The Student Administration team carries out all central administration for undergraduate, post-graduate taught and post-graduate research students, including key activities like enrolment, progression and awards, tuition fees, leave of absence, withdrawal, programme changes, timetabling, exams and graduation.

You will provide administrative support to the team by completing a wide range of tasks to ensure key activities are completed effectively and on time, contributing to the delivery of an excellent student experience.

You will demonstrate strong communication, organisational and administrative skills and support the day-to-day running of the team. An interest in supporting the student community is essential, as is the ability to work flexibly as part of a team and to prioritise responsibilities within a busy working environment.

Your application of processes and procedures and use of systems will be efficient, effective and customer focused and you will ensure compliance with University regulations.

You will work closely with a range of stakeholders and key relationships will include Academic Registry, Admissions, Faculties, Financial Services and Student Support Services.

Description of Duties

  • Provide administrative support across a range of academic programmes and activities to deliver an excellent student experience and high levels of customer service; provide support to all academic and professional services colleagues, applicants, and students
  • Prioritise and respond professionally to queries from students and staff across a range of platforms (e.g. email, unidesk, Teams) with accurate and helpful information. In collaboration with the Student Administration Coordinators, respond to complex queries or complaints or escalate as appropriate
  • Assist with the student registration journey, providing support to students to engage with and complete the process
  • Responsible for core enrolment processes such as student photo approval, ID checks and ID card distribution
  • Maintain accurate records in accordance with data protection legislation and professional body requirements
  • Assist the Student Administration Coordinators/Officers to review and update invigilator handbooks, student examination guides and graduation information, ensuring content remains accurate, up to date, and fit for purpose
  • Contribute to the development and administration of a Canvas module for the delivery of invigilator training materials, supporting content updates, user access, and effective communication of examination requirements
  • Assist with the organisation, preparation, and supply of all stationery, materials, and documentation required for the effective delivery of University examinations
  • Assist with the smooth operation of on-campus examinations by providing practical assistance to candidates and invigilators, helping to resolve issues as they arise
  • Assist with the processing and issuing of replacement degree certificates purchased through the University online shop, ensuring orders are completed accurately and within agreed service level agreements
  • Process graduation-related and University online shop refunds in accordance with University Finance policies and procedures
  • Assist with the issuing of award documentation following the conclusion of graduation ceremonies, ensuring timely and accurate distribution
  • Monitor student enrolment numbers against timetabled room capacities and work with Faculty administrators and the timetabling team to update group sizes in the Allocate system or arrange alternative accommodation where required
  • Any other activities commensurate with the grade and nature of the role as directed by the Senior Team

Faculty and University Wide Activities

  • Work flexibly and collaboratively, providing administrative support across the University; contribute to major events such as enrolment events and graduation; willingness to work occasional non-standard hours
  • Demonstrate a proactive approach to personal development and undertake development in skill areas related to the post
  • General office duties, as required e.g. collection and delivery of mail and management of generic e-mail boxes and enquiry management system
  • Undertake any other duties and responsibilities, commensurate with the grade of the post, as directed by line manager

Essential Criteria


Qualifications

  • Educated to a minimum of HNC/HND level, or equivalent professional experience

Knowledge & Experience

  • Proven experience working in a busy, customer focused administrative environment
  • Well-developed IT skills: proficiency in Microsoft Office applications with the capability of further developing IT skills to use specialised software applications as required

Desirable Criteria


Knowledge & Experience

  • Previous experience of working in Higher or Further Education and/or up-to-date knowledge of issues relating to the student lifecycle and experience
  • Experience of using student record systems (preferable Tribal SITS) or a similar database
  • Experience of taking part in continuous improvement projects

Skills & Attributes

  • Highly developed IT skills including knowledge and experience of the Microsoft Office suite, in particular highly developed Excel skills

The University will pay a supplement per annum pro rata with effect from 01 November 2025, to align with the Real Living Wage (RLW) which equates to £25,178 p.a. This RLW supplement will be reviewed annually to take account of future increases and RLW rates.

There is an expectation that work will be undertaken in the UK.
