Equans is looking for a Compliance and Performance Coordinator to join our team at the Royal Infirmary of Edinburgh on a permanent basis. This is a full time role working 37.5 hours per week. On offer is a salary of £40,000+, bonus and benefits package.

You will be an integral member of the site team. The Compliance & Performance Coordinator is responsible for monitoring and ensuring that facilities management services delivered comply with contracts requirements. Ensuring statutory, contractual, and performance standards are met, tracking Key Performance Indicators (KPIs), and ensuring service delivery. Developing and implementing technical contractual performance indicators (KPI’s) compliance. This role is to support the compliance & performance of site workforce team, to execute the delivery of logistics planning of our onsite technical workforce to ensure delivery of agreed services to our customer in line with Contract Service Level Agreements (SLAs). Responsible for maximising productivity and managing all works to completion until the customer is satisfied. Which can grow into a wider remit of further support functions to supplement and enhance current team, in providing the performance and compliance service delivery at the Royal Infirmary of Edinburgh.

As an effective member of the RIE Team the role is structured to collaborate with Facilities Managers across the site on a day-to day basis gathering data, carry out technical analysis and manage periodic technical reporting. You will be focused on maximising performance with a “can do attitude” with the flexibility and adaptability to work within the team in a changing business environment.

What will you deliver?

  • Manage, develop and support the workforce planners, with a view to widening this remit as the account dictates.
  • Monitor trends via Power BI Dashboard in engineer performance (daily, weekly, monthly) reporting negative trends to the operational delivery team/Team Leader. Maximising utilisation of direct labour, reporting absences and identifying potential shortfalls and mitigation.
  • Analyse jobs for both reactive and PPM’s, allocate to the correct resource based on location, skill, priority, PPMS and customer requirements. Live monitoring for both reactive and PPM’s jobs and reporting any scheduling issues or call progression problems to the relevant person as appropriate. Ensure clear and concise quality updates reflecting true job progression are being used and coach engineers where applicable.
  • Identify, analyse, and improve upon existing processes to improve the way we work as a team.
  • Work in conjunction with the Operations/Delivery Managers to ensure seamless management and delivery of contract.
  • Work closely with site team to ensure clients are kept informed in advance of planned preventative maintenance or reactive visits as per contract agreements, including delays.
  • Respond to all chases/escalations within internal SLAs.
  • Monitor FM performance against contractual KPIs and service standards.
  • Audit FM systems, processes and quality management arrangements. Prepare and consolidate audit outcomes and work with Managers identifying areas of improvement and collate improvement plans.
  • Validate service scoring and challenge performance where required.
  • Carry out site inspections and physical audits to identify areas of underperformance.
  • Produce clear monthly performance and compliance reports.
  • Ensure monthly reports for each discipline are signed by the Account Director, Business Support & Performance Managers, Head of Technical, Estates Director, verifying the accuracy and validity of each site report.
  • Set up and maintain a Technical folder structure for each KPI / System – Statutory, Compliance and Supplier Reports ensuring full documentation maintained and up to date.
  • Prepare and present Technical Performance reports monthly/quarterly and annually performance with a clear set of improvement actions to assist the Senior Management Team in understanding of general compliance across the business.
  • Maintaining strong personal competence in the areas specifically of technical compliance matters to ensure consistent standards throughout.
  • Undertake any other reasonable duties as required, as directed by EQUANS management.
  • Provide leadership, and that contractual commitments are met and exceeded.
  • Be the custodian and champion of a respectful workplace and lead the teams with respect and dignity.
  • Champion the EQUANS Fundamentals and values.
  • Oversight Management of respective compliance and performance systems.
  • Supporting the technical performance and maintenance of standards.
  • Supporting Handback, Audits, NCRs and action plans/trackers.
  • Support development of scheduled programmes and registers that aide maintenance across the account.
  • Ensure data integrity is over all aspects in reporting and can be clearly evidence.

Who are you?

  • Experience within a Healthcare environment is advantageous.
  • Experience in Facilities work force planning, compliance, auditing and facilities operations.
  • Good knowledge of SHTM’s.
  • Good understanding of legislative compliance requirements.
  • Strong understanding of CAFM systems (Maximo); Understanding of asset data standards is desirable.
  • Good understanding of legislative compliance requirements.
  • Excellent analytical, organisational, and communication skills.
  • Proficiency in Microsoft Office Suite is mandatory; Power BI and/or other data visualization tools is a plus.
  • Lead Auditor Qualification desirable but no essential.

This role includes a DS PVG check therefore ability to pass is essential.
